Uploading Cost Lists into ProTracts
NRCS Field Office personnel use the on-line tool ProTracts to
manage cost share program contracting. The following instructions are to assist
Field Office personnel in uploading cost lists into ProTracts. If you need
additional assistance please contact the state office economist.

Log onto ProTracts (user must have appropriate permissions to
upload cost lists. DC's have these permissions.

If this is the first time you have uploaded a docket from
a particular computer, please take the time to verify the computer's security
settings. Follow the directions in the ProTracts "Help" menu; once you've
activated "Help" in Protracts, locate the "Prerequisites" section and click
"browser setup."

ProTracts help also contains instructions on uploading cost
lists, but these are a bit vague in places. Key considerations on
uploading cost lists into ProTracts are outlined below, and a link to
detailed instructions follows:

Cost lists must be checked and uploaded by DCs.
Checking and uploading can take up to 20 minutes each, depending upon the number
of items in your cost list.

In field offices where the service area includes more than one county, the
DC should upload their list for each county in the FO service area. For example,
the Los Lunas FO cost list will need to be uploaded in each of the four counties
it serves. (Checking need only be completed prior to the first upload).

The "User Description" field must be completed to clearly identify all cost list(s). User descriptions should be completed using the following convention:
2005 EQIP Albuquerque FO Bernalillo CO. This will help minimize confusion in
counties served by multiple offices, and provide a clue for all users. If you
have not done this yet, please revisit the "Cost Lists" drop down and the "View
Cost List" screen in ProTracts and update the user descriptions for your list.
Offices should also add a suffix to the "user description" field to clarify
usage if an office uploads more than one list per county.

Unused cost lists must be deleted. Do NOT delete others' cost lists. Please
limit your deletions to lists that you uploaded. The "Delete" option is
available on the "View Cost List" screen.
